When tasked with transforming the natural expanse of Hope Gardens into a sophisticated outdoor entertainment venue for NCB Lumé, the vision called for more than just staging, it demanded a complete re-imagining of the space. In collaboration with event management by Jacqui Tyson/From Thought to Finish and creative direction by Shikima Hinds, Phase 3 Productions served as the central technical and creative infrastructure partner, delivering a full-scale, immersive live experience.

Our core challenge was clear: convert an open-air landscape into a fully engineered event environment—complete with integrated infrastructure, power, audio, visual, and lighting systems—all while ensuring flawless execution across every technical and creative detail.

Strategic Planning & Site Transformation

The project began with comprehensive technical drawings developed and managed by Phase 3, covering the entire event footprint. These drawings laid the groundwork for everything from staging, truss layouts, and LED placement to power distribution, audience flow, and operational zones. They served as the essential coordination tool, aligning all suppliers and crews long before the first piece of gear arrived on site.

The transformation was anchored by an impressive 80’x40’ main tent built on a 15-foot truss grid. We then constructed a series of additional spaces to support guest experience and operations:

– A 40’x40’ Visa Lounge, built on a truss grid with a tent top

– A 40’x30’ covered food display area

– Technical, artist, concierge, medical, restroom, and support tents

A standout feature was the 20-foot circular bar centerpiece, encased within a suspended 10-foot truss element. We also managed the installation of interlocking and wooden decking across multiple zones and implemented perimeter fencing and crowd-control systems to ensure safe, efficient guest movement.

Immersive Audio & Visual Experiences

For audio, we delivered a professional-grade system capable of supporting Tarrus Riley’s live performance and DJ programming by Coppershot. The setup featured JBL SRX speakers and subwoofers, Pioneer DJ consoles, and Shure ULXD wireless microphones. Our post-production team also curated the official event soundtrack, which drove the timecoded light show.

Visual storytelling was brought to life through a large-scale LED system using 136 Absen tiles, designed by The Inicio Project. LED tiles were integrated vertically along the main truss legs to create a fully immersive visual environment. All on-screen content was curated and managed in-house by our post-production team to align perfectly with event branding and show flow.

Dynamic Lighting & Innovative Show Control

A total of 181 lighting fixtures, including moving lights, beams, washes, PARs, strobes, LED bars, and uplights, were deployed to sculpt the atmosphere and enhance the venue’s scale. Lighting was controlled via a Chamsys console, with fully programmed looks synchronized to the music and visuals.

This event also marked a technical milestone for our team: the first implementation of timecode-based show control. Using timecode, we synchronized lighting, LED graphics, and audio to execute a seamless, two-minute light show triggered by a single command—elevating the sensory impact of the experience.

Power, Technical Management & Coordination

To support the entire venue, we managed a multi-generator power system:

  • 125 KVA for primary technical systems
  • 70 KVA for lighting and production support
  • 45 KVA for auxiliary and operational zones

Our team also served as the primary technical liaison for Tarrus Riley’s performance, ensuring every detail of the artist’s rider—from audio and monitoring to staging and lighting—was delivered to the highest professional standard.

From load-in to breakdown, we coordinated multiple suppliers across all technical and operational disciplines, ensuring a cohesive workflow and meticulous attention to detail at every phase.
